Terms of service
Last updated 14 September 2026
Plain language, because an agreement nobody reads protects nobody.
Reception Loop is a product concept built as a portfolio piece. These terms are a realistic template, not legal advice, and they should be reviewed by a lawyer before any real service launches.
1.The agreement
By creating an account or using the service, the business agrees to these terms. If you are accepting on behalf of a company, you confirm you are allowed to bind it.
2.What the service does
Reception Loop answers inbound calls, holds a conversation using the information the business provides, and carries out the actions the business has enabled: booking, lead capture, message taking, transfer and follow-up.
It is an automated system. It is not a person, it is not a legal or medical adviser, and it must not be relied on for emergency services. Callers with a life-threatening emergency should be directed to the relevant emergency number.
3.Your account
You are responsible for who you invite into your account and for what they do in it. Sign-in links are personal and must not be shared. Tell us promptly if you think an account has been compromised.
4.Acceptable use
You agree not to use the service to:
- Make outbound marketing calls or any call the recipient has not asked for.
- Impersonate another business, or configure the agent to claim it is a named human.
- Handle payment card numbers, health records or other special-category data over the phone.
- Break telemarketing, recording or consumer-protection law in the places you and your callers are located.
- Probe, overload or reverse engineer the service.
5.Your content and call data
Your knowledge base, recordings, transcripts and customer records remain yours. You grant us only the licence needed to run the service: to process, store and transmit that content on your behalf, including to the integrations you connect.
We do not use your call content to train machine-learning models. You can export your data at any time and delete it from the dashboard.
6.Recording consent is yours to get
Call recording law varies by state and country, and some places require every party to consent. The agent discloses recording in its greeting by default, and you are responsible for keeping that disclosure switched on where the law requires it and for any consequences of turning it off.
7.Fees, trials and billing
Plans are billed monthly in advance. The trial runs for fourteen days and requires no card; we will ask for payment details before the first charge.
Calls above your plan allowance are billed in arrears at the overage rate shown on the pricing page. Taxes are added where they apply. Prices can change with thirty days' notice, and a change never applies to a month you have already paid for.
8.Cancelling and suspension
You can cancel at any time from settings, effective at the end of the current billing period. There are no cancellation fees and no refunds for part of a month, except where the law requires one.
We may suspend an account for non-payment, for a breach of the acceptable use section, or where continued operation would put the platform or other customers at risk. Except in an emergency, we will tell you first and give you a chance to fix it.
9.Availability and support
We target 99.9% availability on the call path, measured monthly. If our systems fail, calls fall back to the number you nominate rather than failing silently.
Support is provided by email on every plan, with faster response targets on higher plans. Planned maintenance is scheduled outside business hours where we can.
10.Third-party services
Calendars, CRMs and telephony carriers are operated by other companies under their own terms. We are not responsible for their availability, their rate limits or their pricing, and an outage at one of them may delay a write into your CRM, though it will not stop a call being answered.
11.Disclaimers and liability
The service is provided as it is. We do not warrant that the agent will never mishear a caller, never miss a detail, or never fail to complete an action.
To the extent the law allows, neither party is liable for indirect or consequential loss, including lost profits or lost business. Our total liability in any twelve-month period is limited to the fees you paid in that period. Nothing here limits liability that cannot lawfully be limited.
12.Changes, law and contact
We may update these terms, and will give thirty days' notice by email of any material change. Continuing to use the service after that means you accept the new version.
These terms are governed by the laws of the State of Delaware, without regard to conflict-of-law rules. Questions go to legal@receptionloop.example.
